Office Manager /Executive Assistant - Key Biscayne, FL

Our client is an international medical device company looking for an Office Manager for their Key Biscayne office currently supporting 2 executive staff but no more than 5 people in the future. This is a full time position requiring about 3-5 yrs office management and executive assistance experience.

Start date: Aug 1, 2016. Interviews to be held immediately.


Executive Support

  • Provide executive support to CEO and management staff, including secretarial / administrative tasks such as travel and expense management.
  • Support executives in various activities such as preparing presentations under the guidance, organizing small internal and customer events, etc.
  • General phone inquiries using a professional and courteous manner
  • Office administration
  • Manage overall operation of company’s small office (less than 5 people in foreseeable future)
  • Manage day to day operations of the office, such as office supplies supply and purchase, mail and delivery, phone management, etc..
  • Assist with financial management – administer petty cash, prepare invoices and statements, process accounts payable, etc.

Qualifications required

Education
• High School Diploma
• BA Degree education in business, computers, or office management is preferred.

Knowledge, skills and abilities

  • Proficiency in the use of computer programs for:
  • Word processing
  • E-mail
  • Internet
  • Power point
  • Priority

Proficiency in the use of office equipment:

  • Computer
  • Voice messaging systems
  • Fax
  • Photo copier

Personal characteristics
Executive Assistant should demonstrate competence in some or all of the following:

  • Build Relationships: Establish and maintain positive working relationships with others both internally and externally to achieve the goals of the organization.

Experience
• 5 years’ experience in an office setting.
• Previous executive support experience preferred.

Working Conditions
• Full time position may require to some over-time when needed.
• Location, Key Biscayne, Florida.
